Privacy notice

Who we are. Loopkept is the coaching business of Gary Kalra, a sole proprietor based in Vancouver, British Columbia, Canada. Gary is responsible for privacy at Loopkept. Contact: privacy@loopkept.com. A mailing address is available on request.
What I collect. Your name, email, company, role and time zone (when you book or contact me); session notes and anything you share in coaching; and invoice and payment records. I don't see or store card numbers. Please don't share health details or your employer's confidential information unless it's needed.
Why, and the legal basis (GDPR/UK GDPR).
- To book and run calls and coaching: to take steps toward, and perform, our contract.
- To invoice and keep accounts: legal obligation.
- To keep basic records and handle questions or complaints: legitimate interests.
- To publish testimonials or case studies: only with your separate written consent, which you can withdraw.
I don't sell your information or make automated decisions about you.
Who processes it for me. Cal.com (booking), Wise (invoices and payments), Google (Gmail, Calendar and Drive), Slack (check-in messages for Reset and Founder System clients), Cloudflare (website hosting and email forwarding) and Anytime Mailbox (postal mail handling). They act on my instructions. I may also share it with my accountant or legal advisers, only as needed and under confidentiality, or where the law requires.
Where it's stored. Some of these providers store data outside Canada, including in the United States, where it may be accessible to authorities under local law. For EU/UK information, I rely on adequacy decisions (including for Canada) or standard contractual clauses.
How long I keep it. Booking details from people who don't become clients: up to 12 months. Session notes: up to 12 months after coaching ends. Invoices and accounting records: as long as tax law requires (generally 6 years in Canada). Published testimonials: until you withdraw consent; then removed from channels I control within 10 business days.
Your rights. You can ask to access, correct or delete your information, withdraw consent, or object to certain uses. In the EU or UK you can also ask for restriction or portability. Email privacy@loopkept.com; I'll reply within 30 days. You can complain to the Office of the Information and Privacy Commissioner for British Columbia, the Office of the Privacy Commissioner of Canada, your EU data protection authority, or the UK Information Commissioner's Office.
Cookies and analytics. This site sets no cookies and uses no analytics. It's hosted on Cloudflare Pages, which may log visitors' IP addresses for security purposes.
Emails. I won't send you marketing emails unless you've opted in, and every one will include an unsubscribe link (in line with Canada's Anti-Spam Legislation and EU/UK rules).
Security. I use reputable providers, two-factor authentication and access controls. If a breach creates a real risk of significant harm, I'll notify you and the regulators as the law requires.
Changes. A fuller notice will replace this one; updates will be posted here with a new date.
